SOP: Gallery Cross-Posting

This Standard Operating Procedure covers the manual process for cross-posting gallery photos from the Clarksville Furs website to Discord, Telegram, and Facebook. It ensures consistent formatting, proper attribution, and drives traffic back to the website.

1. Purpose & Scope

This SOP defines the steps for manually sharing gallery photos from the Clarksville Furs website to our social platforms. Cross-posts should serve as teasers that drive traffic back to the website, not full reproductions. This applies to all staff authorized to post on behalf of Clarksville Furs.

3. Gallery Categories

Photos on the website are organized into the following JoomGallery categories. Choose the correct category when uploading and reference it in cross-posts.

4. Uploading Photos to the Website

All photos must be uploaded to the website before cross-posting. The website is the source of truth.

  1. Log in to the Clarksville Furs website with your Event Authors account.
  2. Navigate to Gallery → Submit Photo from the main menu.
  3. Select the appropriate category from the dropdown.
  4. Add a descriptive title (e.g., “May 2026 Furmeet - Group Photo”).
  5. Write a short description. Include photographer credit if known.
  6. Upload the image. Recommended: JPEG or WebP, max 5MB, minimum 1200px wide.
  7. Submit. A Content Moderator will review and approve the photo.
Photos must be approved before they appear publicly on the site. Wait for approval before cross-posting.

5. Cross-Posting to Discord

Discord cross-posting is currently done manually. Post in the appropriate channel (e.g., #photos).

  1. Pick one standout photo from the set - not the full album.
  2. Post the photo with a caption using this format:
[Category Name] - [Title]

[1-2 sentence teaser description]

Photo by: [photographer name, if known]
  • Do: Use 1 photo per post. Let the website host the full album.
  • Don’t: Dump all photos into Discord. The goal is to drive traffic to the site.

6. Cross-Posting to Telegram

Telegram cross-posting is currently done manually. Post in the Clarksville Furs Telegram channel.

  1. Send a single photo with a caption using the same format as Discord.
  2. Keep the caption concise - Telegram truncates long captions in photo posts.
  3. Paste the gallery URL on its own line so the link preview generates.

7. Cross-Posting to Facebook

  1. Go to the Clarksville Furs Facebook page.
  2. Create a new post with a single standout photo.
  3. Write a short teaser caption (2-3 sentences max).
  4. Include the gallery link: https://clarksvillefurs.com/gallery
Important: Never post the full album on Facebook. Cross-posts are teasers - the website has the full gallery.

8. Image Guidelines

  • Permission: Only post photos where you have permission from the subjects. If someone asks to have their photo removed, remove it immediately from all platforms and the website.
  • Quality: Choose clear, well-lit photos that represent the community positively.
  • Attribution: Always credit the photographer when known.
  • Minors: Do not post photos of minors without explicit parental consent.
  • Content: All photos must comply with our Community Guidelines.
