SOP: Profile Image & Avatar Moderation

This Standard Operating Procedure ensures all profile images and avatars on the Clarksville Furs website remain appropriate, family-friendly, and in compliance with community standards. A welcoming visual environment helps all members feel safe and comfortable.

1. Purpose & Scope

This SOP covers the review and moderation of all user-uploaded profile images and avatars on the Clarksville Furs website. It applies to images uploaded through Community Builder (CB) profiles, including profile photos, avatars, and gallery images. The goal is to maintain a family-friendly visual environment while respecting members' creative expression.

2. Approval Workflow

  • Auto-Approval: Community Builder is configured to allow immediate avatar uploads for established members (accounts older than 30 days with no prior violations). These are still subject to post-upload review.
  • Manual Queue: New members and members with prior image violations have their uploads held in a moderation queue for review before they become visible.
  • Response Time: Queued images should be reviewed within 24 hours of upload. See Section 8 for full response time targets.

4. Review Process

Follow these steps when reviewing pending avatar uploads:

  • Step 1: Log into the Joomla admin panel and navigate to Components > Community Builder > User Management.
  • Step 2: Filter for users with pending avatar approval or review the moderation queue.
  • Step 3: Evaluate each image against the Acceptable Content table above.
  • Step 4: If acceptable, approve the image. If questionable, consult with another moderator or Admin.
  • Step 5: If not acceptable, follow the Handling Inappropriate Images process below.

5. Handling Inappropriate Images

  • Remove: Reject or remove the image immediately. Replace with the default avatar if needed.
  • Notify: Send the user a direct message explaining why their image was rejected. Be specific about which guideline was violated and provide examples of acceptable alternatives.
  • Document: Log the rejection in the moderation log, including the user, date, image description, and reason for rejection.
  • Escalate: If the image contains illegal content (CSAM, credible threats, etc.), escalate immediately per the SOP: Crisis Intervention. Do not delete the evidence - preserve it and contact an Admin immediately.

6. Minor Safety

Critical: Extra care must be taken when reviewing images from or depicting minors.
  • Users under 18 must not use real photos of themselves as profile images. Furry art, fursona art, or other non-identifying images are encouraged.
  • No identifying photographs of minors are permitted, even with claimed parental consent.
  • If a user under 18 uploads an identifying photo, remove it immediately, replace with the default avatar, and notify the user politely about the policy.
  • Report any concerning images involving minors to an Admin immediately.

7. Appeal Process

  • Users may appeal a rejected avatar by submitting a ticket via Contact Us.
  • Appeals are reviewed by an Admin (not the original moderator who rejected the image).
  • The Admin will respond within 48 hours with a final decision.
  • If the appeal is upheld, the image is approved and the rejection is noted as overturned in the moderation log.
  • If the appeal is denied, the user is informed of the decision and may upload a different image.
